Moving from one CRM to another without losing contacts, deals or history

Tools
  • amoCRM
  • Bitrix24
  • GoHighLevel
  • HubSpot

Our usual stack. We bring in other tools when the task or the project calls for it.

We migrate data between GoHighLevel, HubSpot, Pipedrive, amoCRM, Bitrix24 and other systems: contacts, companies, deals, notes, tasks and custom fields.

The key to a migration is keeping history and not stopping sales. So we back everything up, migrate a test sample and switch the team over only when everything matches.

How the migration works

  • A full backup of the old system
  • A map of fields, stages and users
  • A trial migration and data reconciliation
  • The full migration and a second reconciliation
  • Integrations and workflows reconfigured
  • Team training in the new system
Challenges

What worries teams about switching CRMs

  • We'll lose the email and call history

We check upfront what the old system's API exposes: notes, emails, call recordings, attachments. Anything that can't move directly is archived and linked from the record.

  • Fields and stages don't match between the two systems

We build a mapping table: every field, stage and picklist value in the old CRM gets a home in the new one or is marked for removal. You approve the map before anything moves.

  • Deal owners will get mixed up

We match users across both systems and carry over owners of deals, tasks and contacts. Records of former employees go to a manager so their clients don't end up orphaned.

  • Reps will be stuck working in two CRMs for weeks

We set a cutover date and run a final delta sync the night before. In the morning the team opens the new CRM with current data and today's tasks.

  • Website leads will stop arriving after the move

We list every integration on the old CRM — forms, phone, email tools, webhooks — and reconnect each one to the new system, verified with a test lead.

By the numbers

Move the data, not the mess

  • 35%of sales pros fully trust the accuracy of their company’s data — the rest don’tSalesforce, 2024
What we guarantee

A migration with nothing lost

  1. The old CRM stays put

Until the move is complete, the old system keeps working as usual, and you keep a full copy of it.
  2. A reconciliation report

After the transfer we compare record counts, deal amounts and the links between them, and show you the result.
  3. Sales don’t stop

We switch the team over once everything checks out — in the evening or over a weekend, so reps start the morning in the new system.
  4. A cleanup on the way

We clear out duplicates, empty fields and stale stages during the move instead of carrying the mess into the new CRM.

  • You're merging two databases after an acquisition or a sales team change
  • Your database holds years of deals and history you can't afford to lose

How we work

  1. 01

    Data inventory

    2–3 days

We export contacts, deals, tasks, files and conversation history from the old CRM and assess what is still alive.

You get A data inventory with volumes and a decision on what moves
  2. 02

    Field mapping

    2–3 days

We match fields, stages and users between the old and new systems and decide how to handle duplicates.

You get A mapping sheet for fields, stages and users
  3. 03

    Trial migration

    2–3 days

We move a sample of records and check with your team that nothing is missing.

You get A test sample in the new CRM and a list of fixes
  4. 04

    Full migration and reconciliation

    3–7 days

We move the whole database and reconcile record counts and the links between contacts, deals and tasks.

You get A reconciliation report: records before and records migrated
  5. 05

    Cutover

    2–4 days

We point forms, telephony and integrations at the new CRM and make the old one read-only.

You get Your team working in the new CRM, plus a 3-month warranty on migration bugs
Getting started

What the migration needs

What we need from you
  • Admin access to both the old and the new CRM
  • User lists from both systems and who replaces whom
  • What must be migrated and what can stay in an archive
  • Every integration and tool connected to the old CRM
  • Your preferred cutover date and any days to avoid
Before we start

A data review before the move

On a free 30-minute call we look at both systems and the data volume and agree on what has to survive. Then we send a migration plan, a cutover date and an estimate.

Usually passwords, some attachments and call recordings in certain systems. We tell you up front what we’ll keep and how — for example, in an archive export.

From $2,500. The total depends on database size and the number of objects (contacts, companies, deals, tasks, files), how different the field structures are and how much cleanup happens before the move. We quote after a test export and a call.

Usually 2–4 weeks including reconciliation and the final switch. A small database without integrations moves faster; a large one with integrations lands near the upper end.

No: the old system runs until the final switch, and we top up the last days’ difference.

A migration is a good moment to clean up duplicates and extra fields. We propose cleanup rules before the move.
